Job Description:
To contribute to the overall success of the business by performing all necessary administration to progress sales and thereby support the Sales Team and Directors in their tasks.

RESPONSIBILITIES: Prepare and complete weekly Home Builder Sales returns and appropriate additional reports. Generate Sales letters, memos, Board reports, market research reports, schedules, etc., for the Sales Team. Complete extensive list of weekly and monthly reports e.g. competitor analysis , reservations; outstanding missives; revenues; availability; releases; costs; deposits, etc and ensuring that the reports are completed on time. Perform general office administration tasks as and when required to meet the needs of the department – e.g. faxing, filing, photocopying, fielding telephone calls. Perform general departmental administration tasks such as filing, faxing, photocopying, fielding sales calls, as and when required to meet the needs of the department. Work closely with the Sales Team to ensure that relevant administrative tasks are dealt with efficiently. Assist the Sales Director in producing reports for the department. Ensure client extras are completed on time and with correct payment. Provide other appropriate ad hoc duties, and administrative support within the Division, as and when required. Liaise with external customers to resolve queries, referring to other parties as and where necessary, to maintain a positive customer experience. PERSON SPECIFICATION: Experience of working in a secretarial/admin role in a busy pressurised environment, ideally in Sales/Marketing. Experienced audio typist, with intermediate to advanced level of proficiency with MS Office programs and specifically Excel - and a good standard of written English. Ability to generate professional correspondence unaided. Excellent telephone customer service skills and ability to handle difficult conversations e.g. disgruntled customers. Professional and pleasant manner in dealing with internal and external customers. Self-disciplined, with demonstrably good time management skills and the ability to manage a number of priorities and maintain service in a high-volume sales environment. Ability to multi-task and work efficiently and accurately under pressure. Team player, supportive of departmental colleagues.
